Position Summary:

Potawatomi Federal Solutions, LLC is actively recruiting for a qualified Payroll Administrator who is responsible for preparation and processing of biweekly payroll; reviewing and ensuring accuracy and tracking of approved timesheets; reconciling and paying payroll taxes; and submitting the 401k payroll file.

Job Functions:

  • Processes biweekly payrolls, including taxes and 401k

  • Responds to payroll inquiries

  • Prepares various payroll reports

Essential Duties:

  • Responsible for the coordination efforts between Human Resources, Payroll and other departments to ensure proper flow and maintenance of employee data

  • In conjunction with Human Resources, Finance and Operations Management, maintains and executes payroll files per company policies

  • Responsible for the timely filings of all state and federal reports and payments

  • Handles administration of the electronic timekeeping system

  • Monitors submissions of approved timesheets, ensuring valid data transfers to and from payroll

  • Establishes / maintains employee records, ensuring changes are entered correctly and processed on a timely basis

  • Responds to questions and executes requests complying to federal and state guidelines as well as Payroll policies

  • Reviews changes for proper authorization and adherence to policy

  • Reviews payroll documentation for accuracy through audit reports and makes necessary adjustments

  • Performs comparison report after transmission of payroll, comparing current vs. prior payroll in an effort to audit discrepancies prior to pay date

  • Answers telephone promptly and courteously

  • Researches and resolves questions from managers and employees relative to the processing of payroll information such as PTO, direct deposit, pay cards, retro pay calculations, tax questions, etc.

  • Other related duties:

  • Assists in special projects as assigned by Controller

  • Other duties as assigned

Minimum Qualifications:

  • One (1) to five (5) years of 941 tax filings and W-2 preparation experience

  • One (1) to five (5) years of experience with computerized Payroll processing and tax filings

  • One (1) year of experience with multi-state tax filings

  • High School Diploma or equivalent

  • Associate’s degree with emphasis in Business or Bookkeeping preferred

  • Advanced skills using Excel; in creating and manipulating spreadsheets

  • Experience with DELTEK HR / Payroll systems and COGNOS a plus

  • Experience with processing government payroll a plus

  • High level of proficiency using Microsoft Excel and Word

  • Must be detailed oriented

  • Monday – Friday from 8 a.m - 5 p.m., or as needed. May require work outside of normal hours based on business needs.
